1. What SitCircle is

SitCircle is a babysitting circle coordination app for trusted community groups. It helps families in a circle organize one-off babysitting exchanges using a token-based system. Anyone may create an account and start a circle, but joining an existing circle requires an invitation or coordinator approval. Circles are intended for existing communities where families already know, or can reasonably verify, one another. SitCircle is not a public childcare service, childcare agency, employment platform, background-check provider, or regulated childcare provider.

2. Who uses SitCircle

SitCircle accounts are for parents and legal guardians who are 18 years of age or older. Children do not create SitCircle accounts. Parents or guardians may enter limited child information so trusted families in the same circle can coordinate sits.

3. What data we collect and why

  • First and last name: to identify you within your circle.
  • Email address: login, account support, and notifications.
  • Mobile phone number: shared with the other family only when a sit is confirmed, where the app supports this.
  • Neighbourhood or area: shown in the family directory so members know roughly where you are.
  • Children's first names, ages, and home languages: so trusted circle families can understand who the sit is for.
  • Parent languages, sitter preferences, pet information, and sitting notes: to help families decide whether a sit is a fit.
  • Circle membership, sit request, offer, confirmation, cancellation, completion, and token activity: to operate the circle.
  • Notification preferences, email delivery records, technical logs, IP address, browser/device data, and error logs: to run, secure, debug, and improve the app.

We do not collect home addresses in the app. Families share addresses directly outside the app after a sit is confirmed.

We do not collect payment information. SitCircle uses tokens only, and tokens have no monetary value.

We do not sell user data and do not share user data with advertisers.

4. Legal basis for processing

For users in the EEA, UK, or other GDPR-style jurisdictions, SitCircle generally processes personal data because it is necessary to provide the service users signed up for. SitCircle may also process limited data for legitimate interests such as app security, abuse prevention, operational troubleshooting, support, dispute resolution, and accurate circle records.

4a. Cookies and local storage

SitCircle uses necessary cookies, local storage, session storage, service workers, and similar technologies for login, security, preferences, invite flows, drafts, notifications, and app functionality. SitCircle does not currently use advertising cookies or cross-site marketing tracking.

5. Who can see your data

Access is limited by circle membership and role. Active circle members may see family profile details needed to coordinate sits. Coordinators may see membership, email, and token details needed to manage the circle. Mobile numbers may be visible to the other family involved in a confirmed sit, where the app supports this sharing.

Circle coordinators manage invitations and approvals for their circle. Coordinators and families should only invite or approve families the community is comfortable trusting. If you believe an account is fake, unsafe, misused, or otherwise concerning, contact sitcircle@proton.me.

6. Service providers and subprocessors

SitCircle uses trusted service providers to run the app. These providers process data only as needed to provide services to SitCircle.

  • Supabase: authentication, database, user profiles, families, circles, sit requests, notifications, and token data.
  • Vercel: hosting, serverless functions, routing, deployment, technical logs, and app operations.
  • Resend: transactional and notification email delivery.
  • GitHub: source code hosting and deployment workflow. SitCircle does not intentionally store production user personal data in GitHub.
  • Proton Mail: support and privacy request communications.
  • Notion: internal documentation and operational checklists. SitCircle should avoid storing production user personal data in Notion unless strictly necessary for support or operations.

7. How long we keep your data

  • Active account data is kept while you are an active user or circle member.
  • Deletion requests are acknowledged and processed within 30 days where reasonably possible.
  • Personal profile and family profile data is deleted or anonymized after deletion unless limited retention is needed.
  • Token and sit activity history may be retained for up to 12 months for dispute resolution, app integrity, and audit purposes.
  • Terms, privacy, and SitCircle rules acceptance records may be retained for up to 3 years for legal record-keeping.
  • SitCircle may periodically review inactive accounts and delete or anonymize data that is no longer needed.

8. Your data rights and deletion requests

You may request account and associated personal data deletion at any time from the email linked to your SitCircle account by contacting sitcircle@proton.me.

When a deletion request is accepted, SitCircle aims to delete or remove:

  • Active circle access and current membership access.
  • Child profile records connected to the family profile.
  • Family profile fields such as contact names, phone numbers, postcode or area, closest public transport, languages, pet details, sitting preferences, notes, introduction, and avatar/photo data.
  • Notification preferences and push/browser notification tokens where they are linked to the account.

Some records may be anonymized or temporarily retained instead of immediately deleted:

  • Sit request, offer, cancellation, completion, and token ledger records may be retained in minimized or anonymized form so other families' histories, token balances, and dispute records remain understandable.
  • Terms, privacy, SitCircle rules, and consent acceptance records may be retained for legal record-keeping.
  • Security, abuse-prevention, support, email-delivery, and deletion-request records may be retained where needed to prove the request was handled or protect the service.

SitCircle will retain only what is reasonably needed for legal, security, audit, dispute-resolution, fraud-prevention, support, or app integrity reasons, and will minimize or anonymize retained records where possible.

9. Your privacy rights

  • Access personal data SitCircle holds about you.
  • Correct inaccurate data.
  • Request deletion or anonymization of personal data.
  • Request a portable copy of your data.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.

To exercise these rights, contact sitcircle@proton.me. If you are in the EEA, you may also complain to the Austrian data protection authority at dsb.gv.at.

10. Additional notes for United States users

SitCircle does not sell personal information and does not use personal information for cross-context behavioral advertising. If a US state privacy law applies to SitCircle, users may contact sitcircle@proton.me to request access, correction, deletion, or information about how their data is used.

11. Children's information

Children do not create SitCircle accounts and should not use SitCircle directly. A parent or legal guardian may provide limited child profile information, such as first name, age, and languages, so trusted families in the same private circle can coordinate babysitting.

12. Security

SitCircle uses authenticated access, role-based circle access, Supabase row-level security where configured, encrypted transport, and restricted operational access. No system is perfectly secure, so users should not add unnecessary sensitive information.

13. No background checks or identity verification

SitCircle does not currently perform government ID verification, criminal background checks, childcare licensing checks, employment checks, or formal vetting of users. Circle access is based on private invitations, coordinator approval, and trust within the group. SitCircle may remove or restrict access if needed to address suspected misuse, unsafe conduct, fake accounts, or other trust and safety concerns.

14. Changes and contact

SitCircle may update this Privacy Policy as the app develops or as legal, operational, or app-store requirements change. For privacy questions, support, or data requests, contact sitcircle@proton.me.
